# How to create a business email account in cPanel

> Create an email address at your own domain in cPanel, open it in webmail, add it to Outlook, Gmail or your phone, and set up SPF and DKIM so mail is delivered.

An address at your own domain, `sales@example.in` rather than a free Gmail one, comes with cPanel hosting. Creating it takes a minute. Making sure your mail reaches the inbox takes one more step that most guides skip.

## Steps

### 1. Open Email Accounts

Log in to cPanel, find the **Email** section and click **Email Accounts**. Then click **+ Create**.

### 2. Choose the address and a password

If the account hosts more than one domain, pick the right one from the **Domain** list. Type the part before the @ in **Username**, for example `sales` or `accounts`.

Set a long password or click **Generate**, and store it in a password manager. Leave **Storage Space** at the plan default unless you want a hard cap for this mailbox. Click **Create**.

### 3. Open it in webmail

Back on Email Accounts, click **Check Email** beside the new address to open Roundcube in the browser. You can also go straight to `example.in/webmail` and sign in with the full email address and its password.

### 4. Add it to Outlook, Gmail or your phone

Click **Connect Devices** beside the address. cPanel lists the exact server names for your account; use the **Secure SSL/TLS Settings** it shows. That is usually IMAP on port 993 for incoming mail and SMTP on port 465 for outgoing, with the full email address as the username for both.

In Outlook, Apple Mail or the Gmail app, add a new account and choose **Other** or **IMAP**, then enter those settings. ### 5. Set up SPF and DKIM so mail is delivered

Open **Email → Email Deliverability**. If your domain shows a problem, click **Manage** and then **Repair**. cPanel writes the SPF and DKIM records for you when your domain uses our nameservers.

If your DNS lives somewhere else, such as Cloudflare or your registrar, copy the SPF and DKIM records that page suggests into that DNS instead. Then add a DMARC record, starting in monitoring mode:

`_dmarc.example.in  TXT  "v=DMARC1; p=none; rua=mailto:postmaster@example.in"`

Gmail and Yahoo now send much unauthenticated mail to spam or reject it, so skip this step and customers may never see your invoices.

## Mailbox, forwarder or catch-all?

cPanel offers three ways to receive mail at an address, and they suit different jobs:

- **Email account**: its own mailbox and password. Use it for each person or role that replies to mail.
- **Forwarder** (**Email → Forwarders**): copies incoming mail to another address and stores nothing. Good for `info@` landing in an inbox someone already reads.
- **Default address** (catch-all): receives mail sent to any address that does not exist. Leave it set to reject; a catch-all mostly collects spam.

## If mail is not arriving or sending

In order of how often each is the cause:

- **The MX records point elsewhere.** If the domain once used Google Workspace or Zoho, mail still goes there. Check **Email → Email Routing** and your MX records.
- **The mailbox is full.** A mailbox at its quota rejects new mail. Raise the quota or delete old mail.
- **The username is incomplete.** Mail apps need the full address, not just `sales`.
- **Port 25 is blocked.** Many Indian broadband providers block it for outgoing mail. Use 465 or 587.
- **Mail lands in spam.** Run Email Deliverability again and check the DMARC reports once they arrive.

## Common questions

**How many email accounts can I create?**

It depends on the plan, and each plan lists its limit on the pricing page. Every account can hold several addresses through forwarders at no extra cost.

**Can I use my domain email in the Gmail app?**

Yes. Add it in the Gmail or Outlook app as an IMAP account using the settings from Connect Devices. The mail stays on your hosting and the app simply reads it.

**Why do my emails go to spam?**

Usually because SPF, DKIM or DMARC is missing or wrong. Fix them in Email Deliverability. Sending bulk newsletters from a hosting mailbox also hurts, so use a mailing service for campaigns.

**What is my webmail address?**

Your domain followed by /webmail, for example example.in/webmail. Sign in with the full email address and its password.
