# cPanel email settings for Outlook, Gmail and your phone

> The IMAP and SMTP settings for a cPanel mailbox, and how to add it to Outlook, the Gmail app, an iPhone or an Android phone. With fixes for the usual errors.

Every mail app needs the same few facts about a cPanel mailbox: the server name, two port numbers, and the full address as the username. cPanel shows them all on one screen. Here is where to find them, and how to enter them in the apps most people use.

## Steps

### 1. Find your settings in cPanel

Go to **Email → Email Accounts** and click **Connect Devices** beside the address. Use the block headed **Secure SSL/TLS Settings**:

- **Username:** the full email address, for example `sales@example.in`
- **Password:** that mailbox's own password, not your cPanel password
- **Incoming server:** the name shown, IMAP port `993` (POP3 is `995`)
- **Outgoing server:** the same name, SMTP port `465`
- **Authentication:** required for incoming and outgoing mail

Copy the server name exactly as cPanel shows it. On some servers it is the server's own hostname rather than `mail.example.in`, because that is the name the security certificate covers.

### 2. Add it to Outlook

Add a new account in Outlook and type the full address. If Outlook cannot work out the settings on its own, choose **IMAP** and enter the incoming server with port 993 and the outgoing server with port 465, both with **SSL/TLS** encryption.

In classic Outlook for Windows the manual route is **File → Add Account**, then **Advanced options → Let me set up my account manually**, then **IMAP**.

### 3. Add it to the Gmail app

Gmail on the web no longer collects mail from other accounts: Google retired **Check mail from other accounts** and Gmailify during 2026. The Gmail *app* on Android and iPhone still reads other mailboxes directly over IMAP.

In the app, tap your profile picture, then **Add another account → Other**. On Android choose **Personal (IMAP)**. Enter the password, then the incoming server with port 993 and **SSL/TLS**, and the outgoing server with port 465, **SSL/TLS** and **Require sign-in** switched on. Do not pick the "accept all certificates" options; they switch off the check that you are talking to the real server.

### 4. Add it to an iPhone

Open **Settings → Apps → Mail → Mail Accounts → Add Account → Other → Add Mail Account** (on iOS 17 and earlier, **Settings → Mail → Accounts**). Enter your name, the address and the password, then choose **IMAP**.

Fill in the incoming and the outgoing server with the same host name, the full address as the username both times, and the password. The iPhone switches SSL on by itself; if it will not connect, open the account's **Advanced** settings and check the ports are 993 and 465.

### 5. Send a test both ways

Send a message from the new account to an address you can read elsewhere, and reply to it. Then open webmail: the sent message should be in **Sent** there too. If it is not, set the app's sent-mail folder to the server's **Sent** folder, so every device shares one copy.

## IMAP or POP?

Use IMAP. It keeps mail on the server and shows the same folders on every device, so the phone, the laptop and webmail always agree, and your hosting backups include the mail.

POP downloads messages to one device and usually deletes them from the server. It made sense when mailboxes were small; today it mostly produces "my email disappeared" when a second device is added.

## If the app will not connect

In order of how often each is the cause:

- **Authentication failed.** The username must be the full address, and the password is the mailbox's, which you can reset under **Email Accounts → Manage**.
- **Certificate warning.** The server name does not match the certificate. Use exactly the name Connect Devices shows.
- **Mail arrives but will not send.** Outgoing authentication is off, or the port is wrong. Use 465 with SSL/TLS, or 587 with STARTTLS if the app insists. Port 25 is blocked by many Indian broadband providers.
- **Mail vanishes from other devices.** One of them is set up with POP. Remove it and add it again as IMAP.
- **New mail stops arriving.** The mailbox is full. Raise its quota or delete old mail.

## Common questions

**What are the SMTP settings for cPanel email?**

The outgoing server shown in Connect Devices, often mail.yourdomain, on port 465 with SSL/TLS and authentication switched on. The username is the full email address and the password is the mailbox password. Port 587 with STARTTLS also works if an app requires it.

**Can I still add my domain email to Gmail on a computer?**

Not to Gmail on the web: Google ended its Check mail from other accounts feature during 2026. Use the Gmail app on your phone, which reads IMAP mailboxes, or open webmail in the browser. A forwarder can copy incoming mail to a Gmail address, but your replies then go out from the Gmail address.

**Which port should I use for IMAP?**

Port 993 with SSL/TLS. Port 143 is the unencrypted alternative and is best left unused.

**Why does my mail app keep asking for the password?**

Usually the username is not the full address, or the password was changed in cPanel and the app still holds the old one. Remove the saved password and sign in again.
